1. Who we are

2. What data we collect

We only collect personal data that you choose to provide to us, for example when you complete a form on our website or contact us by email.

Depending on how you interact with us, we may collect:

  • Name
  • Email address
  • Phone number
  • The content of your message or enquiry
  • Information relating to donations, partnerships or support you provide
  • Any other information you choose to share with us in that context

If we add online donations or newsletters in future, we may also collect relevant payment or subscription details. This notice will be updated if that happens.

3. Why we collect your data

We use your information to:

  • Respond to your enquiry or request
  • Provide information or services you ask us for
  • Manage and develop our relationships with supporters, partners, donors and stakeholders
  • Support our fundraising and partnership development activities
  • Improve how we communicate about our work and impact

4. Our legal bases under GDPR

When we process your personal data, we rely on one or more of the following legal bases under the General Data Protection Regulation (GDPR) and Irish data protection law:

  • Legitimate interests – where it is necessary for our legitimate interests in running our foundation, responding to enquiries, developing partnerships and advancing our charitable mission, and where these interests are not overridden by your rights and interests.
  • Contract – where we need to process your data to enter into or perform an agreement with you.
  • Legal obligation – where we need to comply with legal or regulatory requirements (for example, keeping certain financial records).
  • Consent – where you have given us clear consent for a specific purpose, for example to receive email updates or newsletters, where required. You can withdraw your consent at any time by contacting us at info@giff.ie.

5. How long we keep your data

We keep personal data only for as long as we need it for the purposes set out in this notice and to meet any legal, accounting or reporting requirements.

As a general rule:

  • Enquiry information is kept for up to 3 years from your last interaction with us if no further relationship develops.
  • Where legal or financial rules require longer retention (for example, financial records), we will follow those requirements.
  • After the relevant retention period, we will securely delete or anonymise your data.

6. Who we share your data with

We do not sell your personal data. We may share it with:

  • Service providers who host or support our website, email or IT systems
  • Partners and organisations we work with (such as The Ireland Funds) where necessary for our charitable activities
  • Professional advisers (such as legal or IT advisers) where necessary

Our email is provided through Outlook. Access to personal data is limited to people who need it for their role and to trusted service providers working under contract. Any third party processing personal data on our behalf must keep the data secure and only use it in line with our instructions and applicable data protection law.

7. International transfers

Some of our service providers and partners may be located outside the European Economic Area (EEA) or may store data on servers outside the EEA. Where this happens, we will only transfer personal data in line with data protection law, for example by using countries covered by an adequacy decision or standard contractual clauses, so that your data remains appropriately protected.

  • Ask us to correct inaccurate or incomplete data
  • Ask us to delete your data in certain circumstances
  • Ask us to restrict how we use your data in certain circumstances
  • Object to our processing of your data in certain circumstances (for example, where we rely on legitimate interests)
  • Withdraw consent where we rely on consent (for example, for email updates), at any time
  • To exercise any of these rights, please contact us at info@giff.ie. We may need to verify your identity before responding to your request.
  • You also have the right to lodge a complaint with the Data Protection Commission (DPC) in Ireland if you have concerns about how we handle your personal data. Further information is available at www.dataprotection.ie.

9. Cookies and analytics

At present, we do not use cookies or analytics tools on this website.
If this changes in the future, we will update this Privacy Policy and, where required, provide a separate Cookies Policy and any necessary consent mechanism.

10. Changes to this notice

We may update this Privacy Policy from time to time, for example to reflect changes in our activities or in data protection law. Any changes will be posted on this page with an updated "last updated" date.
